CANCELLATION POLICY

Booking Retainer, Cancellation, Rescheduling and No-Show Policy Crowned By OmariElizabeth Hair Studio operates by appointment only. Each appointment reserves dedicated time specifically for the client. Please review this policy carefully before booking. Booking Retainers A booking retainer is required to reserve all appointments. The required retainer is based on the scheduled service total: • Services priced at $200 or less: 20% • Services priced from $201–$499: 25% • Services priced at $500 or more: 30% • Loc Extension Installations and Microloc Establishments: 50% The booking retainer is credited toward the client’s final service balance and is not an additional charge. Booking retainers compensate the studio for reserving appointment time, administrative preparation, consultation review, service planning and, when applicable, product or material preparation. An appointment is not confirmed until the required retainer has been successfully paid. Standard Appointment Cancellations and Rescheduling Clients must cancel or request to reschedule a standard appointment at least 48 hours before the scheduled appointment time. When at least 48 hours’ notice is provided, the booking retainer may be transferred one time to a new appointment for the same or a comparable service. The new appointment must be scheduled within 30 days of the original appointment date and is subject to availability. A second rescheduling request, failure to rebook within 30 days or cancellation of the rescheduled appointment will result in forfeiture of the original booking retainer. A new retainer will be required before another appointment can be reserved. Loc Extensions and Microloc Establishments Loc Extension Installations and Microloc Establishments require at least seven calendar days’ notice to cancel or reschedule. When at least seven calendar days’ notice is provided, the 50% booking retainer may be transferred one time to a new appointment scheduled within 60 days of the original appointment date. The rescheduled date is subject to studio availability. Cancellations or rescheduling requests made fewer than seven calendar days before the appointment will result in forfeiture of the entire 50% booking retainer. A new 50% booking retainer will be required to reserve another appointment. Any hair, customized products or specialty materials purchased specifically for the client are separate from the service retainer and are nonrefundable once ordered, customized, opened or prepared. Late Cancellations For standard appointments, cancellations or rescheduling requests made fewer than 48 hours before the appointment will result in forfeiture of the booking retainer. Cancellations made fewer than 24 hours before the appointment may be subject to a late-cancellation fee equal to 50% of the originally scheduled service total. Any booking retainer already paid will be applied toward the 50% cancellation fee and will not be charged in addition to it. Example: If the scheduled service total is $200 and a $40 retainer was paid, the maximum late-cancellation fee would be $100 total. The $40 retainer would be applied, leaving a remaining cancellation fee of $60. No-Shows A client is considered a no-show when the client: • Fails to arrive for the scheduled appointment; • Cancels after the appointment start time; or • Arrives too late for the reserved service to be completed safely and within the scheduled appointment time. No-shows for standard appointments may be charged 50% of the originally scheduled service total. The booking retainer will be applied toward that amount. For Loc Extension Installations and Microloc Establishments, the 50% booking retainer will be forfeited as the no-show fee. Clients with an unpaid cancellation or no-show balance will not be permitted to book another appointment until the balance has been paid. A new booking retainer will also be required. Appointment and Service Changes Removing services, significantly reducing the scheduled service or changing to a shorter service within the applicable cancellation window may be treated as a partial cancellation. Cancellation charges may be calculated using the original service total because the original amount of appointment time was reserved. Booking retainers cannot be transferred to another person, appointment holder or client account. Same-Day and Short-Notice Bookings Appointments booked within the applicable cancellation window become subject to this policy immediately after booking. The booking retainer will be forfeited if the client later cancels or requests to reschedule the appointment. Studio Cancellations When Crowned By OmariElizabeth Hair Studio must cancel an appointment, the client may choose to transfer all payments to a new appointment or receive a refund of payments collected for the canceled service. The studio is not responsible for expenses incurred outside of the appointment payment, including transportation, childcare, lodging, lost wages or independently purchased hair and products. Emergencies Crowned By OmariElizabeth Hair Studio understands that genuine emergencies can occur. Emergency requests may be reviewed individually. A courtesy exception or transfer is not guaranteed and does not modify the policy for future appointments. Card Authorization and Policy Acceptance By booking an appointment, submitting a booking retainer and accepting the booking terms, the client confirms that: 1. The client has reviewed and accepted this policy before completing the booking. 2. The client authorizes Crowned By OmariElizabeth Hair Studio to charge the required booking retainer. 3. The client authorizes any applicable late-cancellation or no-show fee described in this policy to the payment method placed on file. 4. The client understands that booking retainers are credited toward completed services but may be forfeited under the terms of this policy. 5. The client confirms that the payment method used belongs to the client or that the client has permission from the cardholder to use it. 6. The client understands that appointment confirmations, booking records, payment records, policy acceptance, communications and service documentation may be provided to the payment processor or financial institution if a transaction is disputed. Questions or concerns regarding a charge should first be submitted directly to Crowned By OmariElizabeth Hair Studio so the studio has an opportunity to review and resolve the matter. By completing the booking, the client electronically acknowledges and agrees to the Booking Retainer, Cancellation, Rescheduling and No-Show Policy.
